Configure and use prepaid passes

Define visit, item-use, or balance templates and apply an existing active customer package at POS.

Prepaid Passes define visit counts, item-use counts, or stored balances that a customer can later apply at POS. The template describes the offer; a customer package is the individually purchased or issued balance. These are separate records.

Create the prepaid pass template

Open Admin → Customers & CRM → Rewards & Prepaid Value, then select Prepaid Passes and New prepaid pass. Choose What does the customer use?:

  • Visit or use pass stores a total number of visits or services.
  • Prepaid balance stores a currency balance and can optionally use a fixed amount per use.
  • Item-use pass stores a count of item uses.

Enter Pass name, description, number of uses or available balance, Customer pays ($), optional fixed amount per use, and Valid For (days). Leave validity blank only when the pass should have no configured expiry. Select Create and verify the card's sale price, available value or uses, and validity.

Use Edit to correct the template. Use Deactivate to stop offering it without removing customer package history.

Understand the current issuance boundary

The current admin page creates and maintains prepaid pass templates. The service supports purchasing a template for a CRM customer, but this page does not currently expose a manual Sell pass or Issue pass button. Do not tell staff to create a template and assume the customer received it.

Only continue with POS redemption when the selected customer already has an active customer package from a supported purchase or issuance flow. If the package is absent, record the customer and intended template and contact support instead of creating a fake reward, gift card, or loyalty adjustment.

Apply an existing pass at POS

To use part of a prepaid balance, attach the CRM customer by phone at payment and open Rewards & Benefits. Under Prepaid Packages, confirm the package name, type, remaining uses or balance, and expiry.

  • For a visit or item-use pass, enter the number of units to use.
  • For a prepaid balance, enter the currency amount to deduct.
  • Select Apply and confirm the payment tender changes to Package.

Review the tender amount, customer package ID, and units before capture. Selecting the pass prepares the payment; the service consumes the units or value when payment capture succeeds. The order stores package-redemption metadata for later review.

Troubleshoot a missing or exhausted pass

If a customer package is missing at POS, confirm the correct CRM customer is attached and the package status is active. Check remaining units or value and the expiry date. An exhausted, expired, cancelled, or refunded package is not returned by the normal active-package view.

Do not use a different customer's package or manually substitute loyalty points. For support, record the customer ID, package name, package type, remaining state shown, order ID, and approximate capture time without including passwords or payment-card data.
