Manage inventory items, stock, and movements

Last updated 2026-08-061 min read

Create stock items and record receipts, transfers, waste, and adjustments in the ledger.

On this page

Inventory uses an item master plus a movement ledger. Product sales may consume mapped inventory, while operational changes should use an explicit movement.

Create the item correctly

  1. Open Inventory and add the item.
  2. Set its name, category, unit, cost information, location or warehouse, and tracking settings.
  3. Link a vendor item or sellable product only when they represent the same stock.

Record a movement

Use the movement that describes what happened:

  • Stock in for an authorized addition not coming from PO receiving.
  • Stock out for an authorized removal.
  • Transfer to move quantity between warehouses or locations.
  • Waste for spoilage, damage, or other recorded loss.
  • Count adjustment through the approved stock-count workflow.

Enter the real quantity, including supported fractional units, and add a useful reason or reference.

Verify the result

After saving, confirm the new on-hand quantity and the ledger row. For transfers, verify both the source decrease and destination increase. For product mappings, use POS mappings to check which sellable item or recipe consumes this inventory item.

Never edit history or add an opposite movement without documenting why. If a quantity is surprising, trace the ledger before correcting it.
