Run a stock count and review variance

Count whole-unit quantities, submit for review, approve, and post controlled adjustments.

Use a stock count to compare physical whole-unit quantities with current warehouse stock. Posting an approved count creates traceable adjustments for the variance.

Before you start

  1. Open Inventory > Counts and confirm the active store and warehouse.
  2. Finish known receiving, stock movements, and waste entries before counting.
  3. Create a count session for the intended warehouse and scope.

Count sessions use these states: Open, Pending approval, Posted, and Cancelled. The count screen accepts whole units only. Record fractional consumption or receipt through the supported inventory movement or receiving workflow, not by entering a decimal in a count.

Enter the physical count

  1. Open the session and enter the physical whole-unit quantity on each line.
  2. Turn on Blind count mode when counters should not see the expected quantity.
  3. Use the line filters and the visible totals for uncounted lines and variance to find missing work.
  4. Save while counting. A saved open session can be resumed later.

Zero means the item was checked and none was found. A blank line means it has not been counted; do not use the two interchangeably.

Submit and review

  1. Review unusually large variances and any uncounted lines.
  2. Select Submit for approval.
  3. The approver compares expected quantity, counted quantity, variance, and cost impact.
  4. If correction is needed, select Return to count. If the count is valid, select Approve and post.

Posting applies approved variances to live warehouse stock and should not be treated as casually reversible. A zero-variance line does not need a stock adjustment.

Investigate a variance

Check recent sales consumption, receipts, stock-in or stock-out movements, transfers, waste, duplicate counting, and unit mapping. Correct a missing source transaction when that is the real cause; never change the physical count merely to match the expected value.

Use Cancel session only when the count should close without applying its entries to stock.
