Map a sellable POS product to the inventory item it consumes so a paid sale can create an automatic stock-out movement. The mapping is tenant-specific and only affects sales processed after the mapping is active.
Add or update a mapping
- Open Inventory > Product ↔ Inventory Mappings.
- Search for and select an active product.
- Select the inventory item consumed by one sale.
- Enter Quantity per sale. Decimal quantities are supported; for example, enter
0.25when one sale consumes one quarter of the inventory unit. - Choose the Out-of-stock policy: Disable ordering, Hide product, or Allow backorder.
- Select Save Mapping and confirm the row under Current mappings.
Saving a mapping does not deduct stock. A captured paid sale deducts the sold line quantity multiplied by Quantity per sale. Voided paid lines are skipped. The inventory movement records the previous and new quantity, and stock cannot be reduced below zero.
Understand availability policy
The mapping's out-of-stock choice affects catalog availability only when Product Settings uses the automatic retail-inventory availability mode. At zero available units, Hide product removes the item from the catalog, Disable ordering makes it unavailable for ordering, and Allow backorder keeps it orderable. A product manually marked sold out remains unavailable regardless of this mapping.
When one product has multiple active inventory mappings, available sellable units are limited by the lowest mapped component after its quantity-per-sale conversion.
Verify sales and refunds
After a controlled paid test sale, check the inventory item's current quantity and movement history. A refund restores the mapped quantity when the refund identifies the affected sale line IDs. A full refund can restore all eligible lines when the payment state is REFUNDED.
A partial refund without line IDs does not change inventory, because the system cannot safely determine which products to restock. Correct that case with a reviewed inventory adjustment if physical stock was returned.
If processing fails, the sales inventory event is marked failed and the system creates a POS alert and manager task. Review the event, mapping, inventory item, and movement history before using the administrative pending-event processor.
Remove or troubleshoot a mapping
Removing a mapping stops future sales from deducting that inventory item. It does not reverse historical movements or restore past stock.
If a paid sale did not deduct stock, confirm the mapping was active before payment capture, the product ID matches the sold line, the inventory item is active, the line was not voided, and the pending sales event completed. Also confirm that a quantity-per-sale value was saved for the correct inventory unit.
