Each worker needs an individual employee profile, the correct store and department scope, and only the permissions required for the job.
Add an employee
- Open Employees and select Add employee.
- Enter the required identity and employment information.
- Assign the correct location, department, job or role, and permission template.
- Save the profile and verify the assignments from the employee detail page.
Employee app access is invitation-based. The employee must open the employer invitation and set a web password before signing in to the employee app. This web account is separate from floor access at POS.
Set the POS PIN
The POS PIN must contain exactly six digits and must be unique within the company. If the PIN field is left blank when supported by the employee form, Ellich generates an available six-digit PIN automatically.
Use the protected manager action to set or reset a PIN. Give it directly to the employee and have the employee enter it privately. Never reuse a manager PIN, put a shared PIN on a device, or include it in a training sheet.
Verify access
Test both access paths separately:
- Employee app: the invitation is activated, the employee can sign in with email and password, and the correct company or location is shown.
- POS floor access: the employee's six-digit PIN opens the permitted POS workspace.
Confirm the employee cannot open owner or manager functions outside the assigned role. Refunds, voids, cash-drawer actions, and settings may require a manager step-up even when the employee can use POS.
Change or remove access
Update role or location scope when duties change. Deactivate a departing employee instead of reusing the profile. After a PIN reset or deactivation, confirm the previous PIN no longer starts a POS session.
If access fails, check employee status, invitation state, assigned locations, role permissions, and whether the person is using a web password or a POS PIN for the correct screen.
