Ellich tasks turn reusable operating procedures into assignments for one employee, a role, or a department. Create the template first, then create assignments and verify the intended employees received them.
Create a task template
- Open Admin → Staff & Scheduling → Tasks → Task templates.
- Select New Template.
- Enter the task title, instructions, priority, category, and zone.
- Configure the assignment mode, coverage model, and any role or department eligibility.
- Add subtasks when staff must complete several checks in order.
- Configure required proof, compliance, or escalation fields when the work needs evidence.
- Save the template.
Templates define the work; they do not assign it to staff by themselves. Archived templates remain available for audit but should not be used for new assignments.
Assign the task
- Open Tasks → New task assignment.
- Choose a Template.
- Choose Assignment scope: Employee, Role, or Department.
- Select the employee or the matching role or department.
- Set a Due date when the task has a deadline.
- Optionally choose Link to shift to connect the work to a scheduled shift.
- Review Target preview. It shows how many employees match the current template and scope.
- Select Create Assignments.
If the target preview is zero, check the employee's active status, role, department, location, and the template eligibility fields. Do not create the assignment until the preview matches the intended audience.
Monitor completion
Open Task dashboard to review Status Mix, By Priority, By Zone, Workload by Employee, and Recent Assignments. Open the task list for individual assignment status and evidence.
A task is not complete merely because its due time passed. Verify its completion status, required subtasks, proof, and any manager review required by the template.
Correct common problems
- Wrong employees received the task: review the template eligibility and the selected assignment scope before creating replacement assignments.
- An employee cannot see the task: confirm the assignment was created for that employee or a matching role/department and belongs to the correct location.
- Proof is missing: confirm the template required proof before the assignment was created and review the assignment detail.
- Workload is duplicated: check Recent Assignments before creating the same template and scope again.
Record the template, assignment scope, location, due date, and affected employee when escalating a task issue.
