Create, issue, and receive a purchase order

A purchase order tracks supplier, expected quantities and costs, approvals, delivery, and the stock created by receiving.

Build and issue the order

  1. Confirm the supplier and vendor item records.
  2. Create a draft PO with delivery date, warehouse, quantities, unit costs, and line notes.
  3. Review the total and document preview.
  4. Approve and issue the PO according to your permission policy.

An email preview is not proof that an email was sent. Verify the PO status and your configured delivery channel.

Receive a delivery

  1. Open the issued PO and compare every delivered line with the packing slip.
  2. Enter accepted, short, or other supported quantities accurately.
  3. Leave undelivered quantity on backorder when it is still expected.
  4. Post the receipt and verify the inventory movement.
  5. Receive the remainder later, or close the PO according to policy.

Correct discrepancies

Record damaged or rejected goods separately from accepted stock. If cost or quantity was entered incorrectly, stop and have an authorized manager review the event history before making a compensating inventory movement.

Keep invoices and delivery documents in the approved operations document area; do not place sensitive supplier files in public content.
