Review daily close, payments, and settlements

Compare ledger, tender, refund, closeout, and provider settlement evidence without changing finalized records.

The Payments and accounting sections connect ledger sales, tenders, refunds, closeout state, payment actions, and payment-service settlement evidence. They help a manager investigate differences; they do not silently modify a closed day or provider payout.

Start with Daily Close Confidence

Open Admin → POS → POS Analytics with accounting reporting access. Daily Close Confidence summarizes the current report scope using net sales, refund rate, open closeout days, locked closeout days, discount/comp/void activity, and payment-service variance.

Treat the posture and action chips as review guidance. A healthy posture means the loaded checks did not identify a major blocker; it is not a bank-settlement guarantee. Confirm the selected date range and location before acting on it.

Review financial and tax timing

On Sales, open Financial and tax. Choose the required date basis under Breakdown & comparison options:

  • Refund / action date (cash-basis style) assigns refunds and payment actions to the business date when they happened.
  • Sale date (order date) assigns them to the original sale date.

Review net revenue, Tax net, Sales tax, Liquor tax, Service charge, Tip net, and Auto gratuity. The tax split depends on the store's configured tax lines. Export the Tax & revenue summary CSV when spreadsheet evidence is required.

Compare tenders and payment activity

Use Payment methods to compare captured, refunded, and net amounts by tender and payment service. Use Payment review for individual payment actions and result states. A tender total shows what the POS ledger recorded; it is not by itself proof that a processor deposited the same amount.

Under Deposits and settlements, compare recorded ledger net with the available payment-service totals and payouts. If a connected service is unavailable or has no payouts in the selected period, the report says so instead of inventing settlement data.

Investigate differences using the same store, date basis, and provider period. Timing, refunds, fees, chargebacks, and payment actions can make a provider payout differ from gross sales.

Review the daily close

Open Daily close to compare net sales, tax, tips, and service charge by business date. Open days remain review items. Locked or immutable closeout days represent finalized evidence in this report and should not be treated as editable working days.

Use Discounts, comps, and voids to understand manager actions that affected the close. A count or amount is an investigation starting point; review the underlying operational reason before calling it an error.

Resolve a mismatch without changing evidence

  1. Confirm report period, location, and refund date basis.
  2. Compare Sales summary, Financial and tax, Payment methods, and Payment review.
  3. Compare recorded sales with the payment-service settlement section.
  4. Check open versus locked Daily close rows.
  5. Export the relevant CSV evidence and record the provider, business date, expected amount, actual amount, and known refund or fee timing.

Refreshing or exporting a report does not close a day, edit a payment, issue a refund, or change a provider payout.
