Run the Operations Board

Last updated 2026-08-074 min read

Read shift readiness, staffing coverage, tasks, inventory checks, shared work, field issues, and exceptions from one live board.

The Operations Board is the live shift view for readiness, staffing coverage, tasks, inventory checks, shared work, field issues, and exceptions. It uses the active location and business date; it does not combine multiple stores into one board.

Open the board with the right identity

A paired Operations Board Station asks for Staff PIN, then opens Today in the focused Operations Board. Confirm the location, business date, timezone, and the source shown under Today's Operations Board before acting on the counts. An installed PC or Android Station can use its device date policy; otherwise the board uses the tenant fallback. Use Tasks or Inventory Updates in the board navigation when you need the full working queue.

The device identity alone is intentionally read-only. The six-digit staff PIN identifies the person performing each action and applies that employee's role capabilities. Use Switch user whenever the operator changes or the board is left unattended. Manager, admin, or owner access with the matching review permission is required to add or cancel shared work, acknowledge or resolve issues, and change the claim policy.

Read shift readiness and exceptions

Start with the readiness panel. It shows a percentage, a state, and Next: guidance. Then review the six summary cards:

  • Tasks complete compares submitted or approved task work with today's total. Submitted work may still need manager review.
  • Blocked tasks highlights task assignments that cannot continue.
  • Inventory checks compares submitted or approved inventory work with today's total.
  • Open field issues counts unresolved floor reports.
  • Overdue counts work past its due point.
  • Awaiting review identifies submitted work that still needs manager review.

Select Tasks complete, Blocked tasks, or Inventory checks to open the relevant queue. Under Exceptions requiring attention, select one row to open the affected task or inventory work. Review Clocked-in team, scheduled coverage, Team execution progress, and Recent board activity before treating the readiness score as complete proof that the shift is ready.

Publish and claim shared work

Managers can select an existing task template and choose Add shared task. The offer appears under Shared work queue until one eligible employee selects I'll take it. A successful claim creates an attributed assignment in that employee's My Tasks; it is not an anonymous checklist completion.

Require clock-in to claim is enabled by default and is manager-only and audited. If it remains enabled, the employee must clock in before claiming the offer. One offer can be claimed only once. Do not create a duplicate when another employee has already claimed it; refresh the board and confirm the assignment owner instead.

Managers can select Cancel while an offer is still open. Cancelling an offer does not complete an assignment that was already claimed.

Report and resolve a field issue

  1. Authenticate as the employee reporting the condition.
  2. Select Report issue.
  3. Enter a short description in What is blocked or unsafe?.
  4. Choose Normal, Important, or Critical.
  5. Add the location or operational detail when it will help the manager respond.
  6. Select Add to issue queue.

The Field issue queue records the reporter. Managers can select Acknowledge and later Resolve. Acknowledging an issue confirms review; it does not mark the condition resolved. Do not use a field issue as a replacement for completing, rejecting, or correcting the linked task or inventory assignment.

Recover when the board looks wrong

  • Select Refresh board. The focused board also refreshes its data automatically about every 30 seconds.
  • If the business date is wrong, check the Station clock, timezone, and the date-policy source shown at the top before changing work.
  • If No active clock-ins appears, confirm staff used the attendance clock for this location and business date.
  • If no task template is available for Add shared task, create and activate the intended task template before returning to the board.
  • If claiming returns Clock in before claiming shared work, clock in as the same employee and retry once.
  • If the offer was already claimed or is no longer available today, refresh and use the recorded assignment instead of creating a duplicate.
  • If an unattended board can view counts but cannot report, claim, approve, or resolve, switch to an attributable employee session. Read-only device behavior is expected.
  • If data belongs to another store, switch the active location context; never pass a tenant or store ID in a board URL to override server scope.

When escalating, record the location, business date, displayed timezone and policy source, Station name and role, employee identity used for the action, affected task or issue, exact error, and last successful refresh. Do not send device tokens, PINs, or session credentials.
