Build, share, export, and schedule Company Reports

Last updated 2026-08-063 min read

Compare stores, build permission-aware reports, separate saving from sharing, and verify scheduled files and delivery.

On this page

Company Reports compare approved operational data across the stores you are allowed to see. Choose the stores or a reusable Store Group first; the selected scope applies throughout the report. Store Groups are available only when your access includes every store in the group.

Compare stores in Reports

  1. Open Company → Reports.
  2. Choose the date range and stores or Store Groups.
  3. Review the all-store summary, then open the relevant sales, labor, menu, accounting, payout, guest, gift card, or prepaid section.
  4. Save column preferences when a table needs a different working view.
  5. Export only after confirming the selected scope.

An export requires export permission for every included store. If Export is unavailable, remove a store you cannot export or ask a company administrator to correct your report access. Changing local table columns does not change the underlying business records.

Build and share a custom report

Open Company → Build Reports, start from a template or saved report, and configure the stores, date range, daypart, weekdays, revenue centers, service areas, employees, jobs, and widgets. A custom calculation compares approved report metrics; it does not rewrite accounting data.

Choose Save changes before Share report. Saving creates or updates a private draft. It does not share the report. Unsaved changes block sharing so recipients never receive a layout different from the saved version. A shared viewer sees only the widgets and stores that their own permissions allow. If another administrator saved a newer version, reload the current report and reapply your intended changes instead of overwriting the conflict.

Unsaved work may be offered for recovery in the same browser tab. That recovery is temporary and is not a shared or server-backed report version.

Schedule report delivery

Open the saved report's delivery section and choose Weekly or Monthly, the delivery time, timezone, CSV, XLSX, or PDF, and eligible recipients. Pause a schedule when delivery should stop without deleting its history.

Use Create test file to validate the report artifact. It creates a downloadable preview and sends no email. A scheduled delivery can be pending, running, sent, failed, retry scheduled, or stopped after its retry limit. Confirm before using Retry now so a recipient does not receive an unexpected duplicate. Download links expire; Download period ended means the retained artifact is no longer available, not that the original report configuration was deleted.

Troubleshoot a missing report

  • Confirm the schedule is active, its timezone is correct, and its next run has passed.
  • Confirm the recipient is eligible and still has access to the report's stores.
  • Open Recent files and deliveries and read the delivery status and attempt count.
  • Download an available artifact to separate report-generation problems from email-delivery problems.
  • If the status is failed or stopped after retries, record the report, schedule, time, recipient, stores, and customer-facing error before contacting support.
