Manage company team roles and store access

Last updated 2026-08-062 min read

Invite company users, choose a company role and store scope, pause access, and protect owner continuity with MFA.

Company roles control what a person can manage across multiple stores. They are separate from the employee's job role or POS PIN inside an individual store.

Add company access

  1. Open Company → Team & Roles.
  2. Choose an existing user, or enter a new person's email and name to create an invitation.
  3. Select a company role: Owner, Admin, Manager, Viewer, or Store only.
  4. Choose All stores, Selected groups, Selected stores, or Store only, when that access level is allowed for your own role.
  5. Select the groups or stores and choose Save Access.

A new email receives an invited membership rather than immediate active access. Existing access can be changed to Active, Invited, Suspended, or Revoked. Pausing or revoking company access does not delete the underlying user or store employee record.

Understand role boundaries

Owners have access to every current and future store. Admins, managers, and viewers receive only the roles and scope that the current actor is allowed to delegate. Store only limits the user to the selected store-level context. A Store Group can be selected only when the manager can fully access that group.

Company role assignment does not automatically create an employee profile, department, scheduled shift, or POS PIN at every store. Manage those records from each store's workforce tools.

Protect owner continuity

Owner changes require authenticator protection, a current six-digit MFA code, and explicit acknowledgement of owner authority. An invited owner must finish authenticator setup before owner access becomes active. Keep more than one trusted active owner when possible; the page warns when the company depends on a single owner or has no active owner.

If a person cannot see a store, verify membership status, company role, access level, selected group or store, and the active store context before changing local employee permissions.
